With several upcoming grant submission deadlines, the research community is reminded of the 5-Business Day Grant Submission Requirement :
- Only fully-Cayuse-routed and departmentally-approved proposals can be submitted to the OSP. Proposals must be submitted to the OSP 5 full business days before the sponsor’s submission date.
- The 5-business-day period is calculated from the start of the business day and must consider Health Science Center closures.
- Changes initiated by the PI or research team are not allowed after this deadline. Only OSP-requested changes will be accepted, and these must be finalized one business day before the submission deadline.
- All key personnel must have an up-to-date COI disclosure in DASH prior to submitting a proposal to OSP.
- Contact your departmental or college research administrators to determine the department or college deadline to receive proposals.
Late Proposals
- Proposals submitted after the required deadlines for submission, routing, and approval will not be accepted, except in exceptional cases.
- Any requests to deviate from the 5-business day requirement must be made by the College Dean or Associate Dean for Research to the Vice Chancellor for Research.
- Researchers should contact their Dean or Associate Dean for Research if they need to request a change to the 5-business day requirement.
- Requests must include a justification that explains:
- Why the proposal could not be submitted on time
- The college or university priority the submission addresses
- Why the proposal cannot wait until the next sponsor deadline
- The name of the Principal Investigator (PI), the title of the proposal, and an abstract.
- The circumstances requiring a waiver of the 5-business day requirement should be uncommon and beyond the PI’s control (e.g., late notification from prime sponsor, bereavement leave, etc.), but do not include situations which could have been planned for (e.g., late communications from collaborators, being on travel, vacation, etc.).
- If a variance from the 5-business day requirement is approved, the proposal must be submitted immediately for routing, review, and approval.
- Approval to deviate from the 5-business day requirement does not guarantee submission. Departmental and College reviews, as well as OSP review, are still necessary to ensure the accuracy, validity, and eligibility of the proposal.
- Proposals received by the Office of Sponsored Programs (OSP) on the submission deadline are unlikely to be submitted, even with an approved variance, due to insufficient time for thorough review.
